Introduction

Farmers Direct Hay and Feed LLC ("we," "us," or "our") operates the farmersdirecthay.com website. This Privacy Policy explains what personal information we collect, how we use it, and your choices regarding that information. We are committed to protecting your privacy and handling your data responsibly.

Information We Collect

We collect personal information that you voluntarily provide to us through our contact forms and order request forms. This includes:

• Your name
• Email address
• Phone number
• Any additional information you include in your message (such as delivery preferences or product questions)

How We Use Your Information

We use the personal information you provide for the following purposes:

• To respond to your inquiries and questions
• To process and fulfill your hay, feed, and supply orders
• To communicate with you about your orders, including delivery updates
• To improve our products and services

Information Sharing

We do not sell, trade, or rent your personal information. We will never hand your contact details to another business so that they can market their own products to you.

We do share a limited amount of information with Google so that we can measure which of our ads and web pages actually lead to orders. This is limited to purchase records from our point of sale system, and any email address or phone number in them is turned into a scrambled code (a one way hash) before it leaves our systems. For this measurement, Google uses that code only to tell us that an order matched an ad click or a phone call, and it does not receive your name or your readable contact details. If you would rather we left your purchases out of this entirely, email sales@farmersdirecthay.com and we will exclude your records.

We also send those same scrambled codes to Google so that it can recognise which people are already our customers. Google compares the code against its own accounts and we use the result in two ways: to stop spending money showing you adverts that are meant to find brand new customers, and at times to show you our adverts rather than a competitor's. This does mean you may see our adverts on Google as a result. Google is never given your name, your email address or your phone number in a form it can read, it is not allowed to use what we send for any advertiser other than us, and we do not use it to email, text or call you. The same opt out applies: email us at the address above and we will leave your records out of this too.

When you submit a form on this site, we also send Meta (the company behind Facebook and Instagram) a record that a form was submitted, so we can measure which of our Facebook and Instagram ads lead to enquiries. Any email address or phone number you entered is turned into a scrambled code (a one way hash) before it leaves our server, and the record also carries your IP address, your browser type, the page you were on and Meta's own cookie identifiers if your browser has them. Meta is never given your name, your message or your contact details in a form it can read. This is covered by the analytics switch described under Your cookie choices below: if you turn analytics off, we do not send it.

We may also share information if required by law, or to protect the rights and safety of our business and our customers.

Mobile opt-in information and phone numbers collected for SMS messaging are never shared with or sold to third parties, and are never shared with third parties for their own marketing or promotional purposes. We use your text-message consent only to send the messages you opted into, and you can reply STOP at any time to opt out or HELP for assistance.

Analytics

We use Cloudflare Web Analytics to understand how visitors use our website. Cloudflare Web Analytics does not use cookies, does not collect personal data, and does not track individual visitors across websites. It provides us with aggregate data such as page views and visitor counts. No personally identifiable information is collected through Cloudflare Web Analytics.

We also use Google Analytics 4 (GA4) to better understand site traffic and how visitors interact with our pages. Google Analytics may set cookies on your browser and collect information such as your IP address, browser type, pages visited, and time spent on the site. This data helps us improve our website and the products we offer. Google may also use this data in accordance with its own privacy policy.

You can opt out of Google Analytics tracking by installing the Google Analytics Opt-out Browser Add-on.

We also use Microsoft Clarity to understand how visitors use our pages, through session replays and heatmaps such as clicks and scrolls. Clarity masks text and form entries by default, so the personal details you type are not captured in replays. Microsoft processes this data under its privacy statement.

We also use the Meta Pixel, a tool from Meta Platforms, to understand which of our Facebook and Instagram ads bring visitors to the site and lead to enquiries. It may set cookies on your browser (such as _fbp, and _fbcif you arrive from a Meta ad) and records the pages you visit, the products you view, taps on our phone number and form submissions. Our server also sends Meta a matching record of each form submission through Meta's Conversions API, as described under Information Sharing above. Meta processes this data under its privacy policy.

Your cookie choices

Google Analytics, the Meta Pixel and Microsoft Clarity are all on by default, and you can switch them off from the cookie banner by opening Choices. The Visit counts switch covers Google Analytics and the Meta Pixel together, including the form submission record our server sends to Meta, and the Session replay switch covers Microsoft Clarity. Turning one off stops it straight away, clears the cookies it has already set, and stops it loading at all on any page you visit afterwards. Your choice is remembered in a cookie named fdh_consent for one year. You can change it at any time using the Cookie Settings link at the bottom of any page.

Three things are worth stating plainly, because that switch does not cover them:

• Cloudflare Web Analytics runs as part of our hosting rather than as something our site loads, so it keeps running either way. As described above, it sets no cookies, collects no personal data and does not track you across websites.
• If you reach us by clicking an ad, we store that click's identifier in a cookie named fdh_ad_tracking for 90 days, so that if you contact us later we can tell which ad brought you. It holds the advertising identifiers and page referrer, not your name or contact details.
• When you submit a form on this site, our server records that a form was submitted to Google Analytics. That happens from our server rather than from your browser, so the cookie banner does not control it. It records that a submission happened, not the contents of what you typed.

Data Security

We take reasonable measures to protect your personal information from unauthorized access, alteration, or destruction. Our website uses HTTPS encryption to secure data transmitted between your browser and our servers. However, no method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security.

Your Choices

You may contact us at any time to request access to your personal information, ask us to correct inaccurate information, or request that we delete your personal information from our records. We will respond to your request within a reasonable time frame.

Children's Privacy

Our website is not directed at children under the age of 13, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can remove it promptly.

Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated "Last updated" date. We encourage you to review this page periodically.
